Personal Health Record - System Administration
As a system admin, on the Dashboard you can see PHR users (patients) and their account status. Before a patient can be authorised in PHR, there must be a valid email address in a current pregnancy record in EuroKing, on the Demographics screen. Entering an email address within EuroKing creates a record for the patient in PHR. See Enter patient's email.
From the dashboard, the following is available:

Number of registered users - have given an email address, been authorised, and registered with the app.

Number of active users - users that have signed in since registration.

Number of inactive users - users that have registered but not signed in since then.
Click a card to view a list of the patients in the category.

Patients records are held in EuroKing. Only patients who have an email address on the Demographics screen of EuroKing, are visible in PHR. See Enter patient's email.

Click Menu to open the side pane and click Patient Search.

Enter a hospital number, NHS number, surname, or email address.
Hospital number Hospital number plus NHS number is the recommended method. NHS number Surname Exact match only. Enter the full surname. Email Exact match only. Enter the full email address. -
Click the corresponding search button. A list of matching patients is displayed.

Identify your patient from the search results. Click a column header in search results to sort the table by that item

Open the current pregnancy record in EuroKing and click Demographics.

Enter the patient's email address and click Save.

The Contact Information screen contains information to help the patient contact their healthcare providers. There are three sections:

A contact email address and telephone number is needed to enable patients to request corrections to any data that may be incorrect.

The Email Template Management screen contains templates for patient registration and password reset emails.
- Click Menu button to open the side pane and click Email Template Management.
- Click Edit and edit text as required. Use HTML to format your email:
- <br> adds a line break. It does not require a closing tag.
- <a href= URL> adds a hyperlink to anything contained with the element, the closing tag is </a>. Insert the link text between the tags, e.g. <a href=https://www.magentus.com>Magentus website</a>
- Click Save to save details or click Cancel to close without saving.

This is the message that is displayed for journal entries and observations to warn patients that any data entered here will not be seen by a midwife.

The PHR patient app has a Pregnancy Information page for each trimester containing links to useful information from the NHS. The links are agreed and configured before deployment.
Links are displayed which are relevant to the current trimester.

If gestation is between 0 and 12 weeks, the First Trimester page opens.

If gestation is between 13 and 27 weeks, the Second Trimester page opens.

If gestation is 28 and above, the Third Trimester page opens.
Links are displayed in categories. For example, Keeping Well in Pregnancy and Labour and Birth.
Upon clicking a link, a message will pop up to warn the patient that they are going to an external website.

Recommendation Management allows a user to add information or links to websites which are relevant to conditions identified during pregnancy. Recommendations are shown to the patient, on the relevant trimester page, when any of their answers match any of the triggers defined.

- Click the Menu button to open the side pane and click Recommendation Management.

Click the Add Recommendation Group button and enter a name.

Click Add Recommendation and complete the required fields.

Click the Update button.

Click Add Triggers and select either Answers or Risks depending on what should trigger the recommendation.

Click to expand an item and select all the relevant tickboxes.

Click Assign Triggers, then click the Save button.
- Click the Publish button to make these recommendations available in the patient app. The recommendation is shown if any of the patient's answers match the selected triggers.

Monitor both admin and patient activity across PHR. When a patient adds information via PHR, the relevant questionnaire is updated in EuroKing. A suffix shows the origin and date of the entry. Any subsequent updates will overwrite original answers. Previous answers can be viewed via Tools > Top View in the main EuroKing application.
Observations and Journal Notes allow the patient to record weight, blood pressure, urine test results and make personal notes. These details are not transferred to EuroKing and are not seen by their care providers.

- To download audit data, click Menu, then click Audit Logs.

Select an Event Type from the dropdown list. Further options appear depending which Event Type is chosen. Complete as required.

Choose a date range and click the Download Audit Log button.
A CSV file is automatically saved to your local download location. In this example, you can see the date and time of every log in by the user “Training”.
