Exams (procedures)

The Examination Codes table contains a complete list of coded radiology examinations.

It is populated by the national dataset. You may add or edit an exam, if required, between updates.

Add a new exam (system)

Click Tables Setup.

Select Other > General > Examination Codes.
Click the New button.
Complete the required fields (descriptions below).
Click the Save button.
Click the Refresh Table button.

Warning:

You should contact your Trust IT Help desk, or Prime Contractor Help desk, before making any changes to shared tables. Customers with support contracts can contact us directly.

Warning:

Update PACS and OCS manually after making changes to Examination Codes.

Tip:

The Examination Codes table populates the Exams Per Hospital table, where you can set local exam details, such as rooms and resources. End-dating an exam in Examination Codes will update both tables; adding a new exam will not - update Exams Per Hospital manually using Auto Fill.

Examination Codes

	Field	Description
	Code	Examination code as defined in the national dataset.
	Name	Full examination name. Warning: You may change the name of an examination to your preferred term, however, changing the name should not be used to change the meaning of an examination.
	Letter Name	Patient-friendly examination name which appears on letters.
	Modality	Select a modality code or leave blank.
	Groups 1 and 2	Exam Group is a two-character code (defined by you) to identify exams which are grouped together for reasons other than modality. One Exam Group can be assigned to an exam via Other > Appointments > Exams Per Hospital. This is a local setting. Two Exam Groups can be assigned to an exam via Other > General > Examination Codes. This is a system-wide setting. Tip: Use Cris Stats to extract a list of exams assigned to an Exam Group. Restrict Diary slots by Exam Group. Add the Exam Groups column to a worklist. It will show any codes assigned via the Exams Per Hospital and Examination Codes tables. Example: BS - Exam Group code for all Breast Screening exams, which might include mammograms (XMAML, XMAMR, XMAMB etc.) and ultrasound (UMAML, UMAMR, UMAMB).
	Real Time	Duration of this exam in minutes.
	Interventional	Is this an interventional procedure, for example, a biopsy? Select Yes, No, or leave blank.
	Scan Reason	For defining flexible forms, mostly used in obstetrics.
	Korner Band, Value, Code, Weight	Korner coding system.
	Radiographer Class	Radiographer grade, for example, Basic, Senior II, Superintendent.
	Clinician Class	Clinician grade, for example, Consultant, SPR, Reporting Radiographer.
	Clinician Required	Is a clinician required to perform this examination? Select Yes, No, or leave blank.
	Anaesthetist	Is an anaesthetist required to perform this examination? Select Yes, No, or leave blank.
	Nurse	Is a nurse required to perform this examination? Select Yes, No, or leave blank.
	Area of Body	Select one body area. Body areas are defined in System > Normal Tables > CRISBODY.
	Number of Exams	Number of examinations included in this code. For example, a skeletal survey is one code with multiple exams.
	Max Wait	Enter the maximum number of days (from request) a patient may wait for this exam. Leave blank to default to the standard 42 days. Max Wait is used in Cris Stats to monitor waiting times.
	Arsac Limit	Nuclear Medicine setting (ARSAC: Administration of Radioactive Substances Advisory Committee). If this field is left blank, you will be unable to assign administrations. The ARSAC limit can be overridden, it is just a warning.
	Waste	Nuclear Medicine setting.
	End Date	Enter an End Date when an exam code is no longer used, rather than deleting it. This will also update the Exams Per Hospital table.
	Real Exam	Select Real Exam to include this exam in Stats reports.
	LMP Sensitive	Select 10 day rule, 28 day rule, or Not LMP Sensitive. Shows the selected LMP warning when booking appointments.
	Auto Track	Legacy field.
	SNOMED CT	SNOMED CT is a structured clinical vocabulary. It contains all the clinical terms to describe diagnostic and other procedures. The use of SNOMED CT is a National Information Standard, and therefore a contractual requirement.
	DWT Exam	Select DWT Exam to include this exam in Stats reports. Use the field EXAMCD.DWT_EXAM

Edit an existing exam (system)

Click Tables Setup.

Select Other > General > Examination Codes.
Enter text in the Code or Name field. The list will jump to the next exam which matches.

Scroll down the list.

Click to select an exam.
Complete the required fields (descriptions below).
Click the Save button.
Click the Refresh Table button.

The Exams Per Hospital table contains a list of coded radiology examinations which are performed at your hospital.

It can only contain exams which are already in the Examination Codes table.

You must set rooms, days, resources, and times for each examination. You can apply settings individually or by modality. Update the Exams Per Hospital table, using Auto Fill, when new exams are added to the national set, or new rooms are opened. Use this table to configure modalities and exams for vetting.

Add a new exam (local)

Click Tables Setup.

Select Other > Appointments > Exams Per Hospital.
Click the New button.
Double-click or press F4 in the Exam field.

The exams available for selection are from the Examination Codes table.

Double-click to select an exam.
Complete the required fields (descriptions below).
Click the Save button.
Click the Refresh Table button.

Exams per Hospital

	Field	Description
	Exam	Examination code as defined in the Examination Codes table.

	LMP Text	Choose LMP text for this examination only if you wish to override the default (Examination Codes table) site or modality-specific LMP prep. For example, if an exam is typically 10 days, but you want to print the 28 day rule instead. The prep text comes from System > Print Content Editor > Templates > pregwarn.
	Days of Week	Define which days this examination can be appointed in the Diary. The days are represented by a number: Sunday = 0, Monday = 1 etc.
	OV Days of Week	Define which days this examination can be appointed in the Diary by a user with override privileges. The days are represented by a number: Sunday = 0, Monday = 1 etc.
	Procedure Time	How long the examination will take (in minutes). This number determines the start time in Post Processing (end time minus procedure time) and the appointment length when this examination is dropped into the Diary. Tip: If the Procedure Time field is left blank, Cris will take the value from the Real Time field in the Examination Codes table. If the Real Time field is blank, procedure time will default to 1 minute.
	Preparation Time	How long the preparation for this examination will take (in minutes). Determines the arrival time on appointment letters. For example, if there is 30 minute preparation for a CT appointment at 10 am, the letter will ask the patient to arrive at 9.30 am. Warning: Preparation time (which decides the time patients are instructed to arrive) for a multi-exam event is taken from the first exam in the event. The exam with the longest prep time should be listed first in Event Details.
	Number of Visits	Not implemented / legacy field.
	Visit Frequency	Not implemented / legacy field.
	Visit Margin	Not implemented / legacy field.
	Room 1...	Enter up to six codes for rooms in which this examination can be performed (which rooms should be shown in the Diary?).
	OV Room 1...	Enter up to six codes for override rooms in which this examination may be performed. Users with override privileges can use ‘Add Room’ via the Diary to book appointments into OV rooms as well as the standard rooms.
	Scan Reason	For defining flexible forms, mostly used in obstetrics.

	LMP Sensitive	This controls the LMP warning when booking appointments, asking clerks to enter an LMP date into the event. This warning can be overridden with a security setting.
	Quality Assurance	For use with the Quality Assurance module. Select a percentage of this exam which will require checking. For example, 100% of breast screening exams, or 5% of chest x-rays. See also Report Info List - QA.
	Double Reporting	For use with the Quality Assurance module. Select a percentage of this exam which will require checking. For example, 100% of breast screening exams, or 5% of chest x-rays. See also Report Info List - QA.
	Required Vetting	Determines whether an examination appears on the Vetting List. Magentus recommend that all examinations are marked as requiring vetting (clinically, not just for IRMER) but it is at the Trust’s discretion.
	Send report via DICOM I/F	Send reports for this examination to the DICOM interface.

Field	Description
Room 1...	Enter up to six codes for rooms in which this examination can be performed (which rooms should be shown in the Diary?).
OV Room 1...	Enter up to six codes for override rooms in which this examination may be performed. Users with override privileges can use ‘Add Room’ via the Diary to book appointments into OV rooms as well as the standard rooms.

Exams per Hospital

Field	Description
Resource Group 1...	Restricts booking to times when a member of this Resource Group is available to perform the examination. This only applies to customers using the Resource Management module. Requires up-to-date staff rotas in Cris. Defined in People > Resource Groups.

Apply settings to multiple exams (by modality)

Click Tables Setup.

Select Other > Appointments > Exams Per Hospital.
Select the Auto Fill tab.
Complete the table as required (see below).
Click the Auto Fill button.
Click the Save button.
Click the Refresh Tables button.

Exams per Hospital

Field	Description
Fill	Select a tickbox in the Fill column next to each modality you want to update.
Modality	The modality these settings will apply to. Tip: Double-click or press F4 in the Modality field of any worklist to see modality codes. .
Days	Define which days this examination can be appointed in the Diary. The days are represented by a number: Sunday = 0, Monday = 1 etc.
Letter	Only use if you need a letter with exam-specific prep. Otherwise, leave blank to use the default, modality-specific, prep letter.
Room 1...	Enter up to six codes for rooms in which this examination can be performed (which rooms should be shown in the Diary?).
Vet	Determines whether an examination appears on the Vetting List. Magentus recommend that all examinations are marked as requiring vetting (clinically, not just for IRMER) but it is at the Trust’s discretion.
Time	Select this tickbox if you want to use the value in the Real Time field Examination Codes as your exam time (instead of the value in the Procedure Time field of Exams Per Hospital). Do not select it if you want to keep your locally-set exam times (the Procedure Time field of Exams Per Hospital).
Overwrite	Select this tickbox when you make changes, for example, add a new room. If you do not select it, Exams Per Hospital will update from Examination Codes (new exams or changed values) but will not apply any changes you make.

To create, amend, or inflate Cris exam costs, use the Exam Costs table to create costs files. Costs files can be applied to Cris Statistical Reports.

Create an exam cost sheet

STEP 1

Create a file.

Click Tables Setup.

Select Other > Costs > Exams Costs.
Click the New button.
Enter a file name in the Cost Code field.

Note: There is an 8-character limit.

Enter a full description in the Description field.

Cost Year and Site will be automatically populated but you can edit if required.

If you use the Billing module, enter a Request Category and Insurer.

Click the Create button.

A progress bar displays until the file is created.

Click the Close button.

STEP 2

Apply costs.

Enter the cost code in the Examination Cost Policy field and press the Enter key.

Press F4 and double-click a file.

All exams will be displayed.

Select an exam.
Enter up to six individual costs which contribute to the overall cost of the exam.
Enter how much extra the exam costs out of hours in the Cost Out field.

Total In and Total Out (of hours) are calculated automatically.

Click the Save button.

Copy an exam cost sheet

STEP 1

Copy a file.

Click Tables Setup.

Select Other > Costs > Exams Costs.
Click the New button.
Select the Copy values from existing policy tickbox.
Enter the cost code in the Policy to copy from field and press the Enter key.

Press F4 and double-click a file.

Enter a file name in the Cost Code field.

Note: There is an 8-character limit.

Enter a full description in the Description field.

Cost Year and Site will be automatically populated but you can edit if required.

If you use the Billing module, enter a Request Category and Insurer.

Click the Create button.
