Correct an attendance (wrong patient)

When a request is entered and attended (but not post processed or reported) on the wrong patient record:

  • Copy the request details and scanned documents.

  • Undo Attend; cancel the request on the incorrect record.

  • Add the request to the correct patient record and attend.

Tip:

If any action has been performed on the attended event, do not proceed. See Correct a post processed event or Correct a reported event.

STEP 1

Copy request details

  1. Open the incorrect patient record.
  2. Click to select the event on the Events screen.
  3. Click the Change button.
  4. The Event Details screen opens.

  5. Copy all the request information from the Event Details screen (referrer details, mobility, exam, clinical history, event comments).
  6. Important: Note the urgency.

    Important: Note the correct request date - if left blank on a new request, the system will default to the current day.

STEP 2

Export request card

  1. Open the incorrect patient record.
  2. This icon indicates a scanned document.

  3. Click to select the event on the Events screen.
  4. Click the Change button.
  5. Click the Documents button.
  6. Right-click the document.
  7. Select Save to local disk.
  8. A file explorer window opens.

  9. Navigate to your save location.
  10. Enter a file name followed by .jpeg.
  11. Cris supports jpeg, pdf, and tiff file types.

  12. Click the Save button.

Warning:

The (cancelled) event will remain on the incorrect record for audit purposes, but information about the other patient must not be kept on this record. Once you have transferred the image to the correct patient and event, delete the image from the incorrect patient record.

STEP 3

Undo attendance and cancel

This is for an attended event with no imaging which is on the wrong patient record.

  1. Open the incorrect patient record.

  2. Right-click the event and select Undo Attend.

  3. A prompt message asks “Are you sure…”

  4. Click the Yes button.

  5. You are given two options: Cancel Event or Undo Attend.

  6. Select the Cancel Event button.

  7. Enter a comment in the Status Comment field “Event created on incorrect patient record”.

  8. Select the Booking Error radio button.

  9. Click the Booking Error button to save.

STEP 4

Create the event on the correct patient record

  1. Open the correct patient record.
  2. Use New Event and enter the request manually with the information from STEP 1.

Tip:

  1. Select Tools > Session > Back Log Mode.

  2. Enter a date.

  3. Enter the required information.

  4. The Back Log tab remains open, and all actions are logged as happening on the date you entered, until you cancel.

  5. Click the Cancel Back Log button to return to the present date.

STEP 5

Import request card

  1. Open the correct patient record.
  2. Click to select the event on the Events screen.
  3. Click the Change button.
  4. Click the Documents button.
  5. Click the Scan New Document button.
  6. Select the Load Image button.
  7. Select the Document Type REQCARD.
  8. Navigate to your document location.
  9. Select a file.
  10. Click the Open button.
  11. The request card now appears on the Scanned Documents tab for this event.

Warning:

STEP 6

Attend the correct event

  1. Open the correct patient record.
  2. Click to select the request on the Events screen.
  3. Click the Change button.
  4. The Event Details screen opens.

  5. Click the Attend button.
  6. The Attend Event screen opens.

  7. Click the Attend button.

Tip:

  1. Select Tools > Session > Back Log Mode.

  2. Enter a date.

  3. Enter the required information.

  4. The Back Log tab remains open, and all actions are logged as happening on the date you entered, until you cancel.

  5. Click the Cancel Back Log button to return to the present date.
